CLASS TITLE: ATTENDANCE CLERK/RECORDS TECHNICIAN II BASIC FUNCTION: Under the direction of an assigned Principal, perform clerical duties related to student attendance accounting and record-keeping at an assigned middle or high school site to assure accurate Average Daily Attendance (ADA) reporting; verify excused and unexcused absences; prepare truancy report and issue detention slips according to established procedures; serve as a liaison and technical resource regarding student attendance, discipline and related issues, policies, procedures, rules and regulations. DISTINGUISHING CHARACTERISTICS: The Attendance/Records Technician II classification is assigned to a middle or high school site with period-by-period attendance. The Attendance/Records Technician I classification performs a variety of clerical duties related to attendance accounting and record-keeping at an assigned elementary school site. REPRESENTATIVE DUTIES: ESSENTIAL DUTIES: Perform clerical duties related to student attendance accounting and record-keeping at an assigned middle or high school site to assure accurate ADA reporting; compile information and prepare and maintain various attendance records and reports; review attendance data, records and reports for completeness, accuracy and compliance with established guidelines. Process and verify student absence information from parents, teachers and others; assure parents are informed of student absences; post student absences and truancies to appropriate computer system; process and clear absences, and issue re-admits according to established procedures. Prepare truancy reports and issue detention slips according to established procedures; provide information to Probation Department officers regarding truancy; resolve student issues regarding truancy verifying absence from appropriate teacher; provide information to Child Protective Services and the Sheriff’s department requesting enrollment and attendance information according to established guidelines. Work with counselors and teachers regarding absent students, special needs, and doctor’s notes excusing students from physical education or sports-related activities; make copies and distribute to appropriate personnel; input information regarding student’s placed on Home Studies and provide for follow-up as assigned; maintain records of students in special programs, field trips and other student events. Serve as a liaison between students, parents, staff and outside agencies regarding student attendance and discipline; initiate and receive phone calls; resolve attendance issues and conflicts in a proper and timely manner. Compile and duplicate attendance materials and information; prepare, distribute, collect and process forms, applications, notices and other documents required for attendance accounting and record-keeping; collect signatures as needed; duplicate and distribute materials as requested. Compose and mail letters and other correspondence concerning student attendance, tardies and other issues independently or from oral instructions as appropriate; duplicate letters for teachers and cum files. Participate in enrolling and registering new students; input student data into appropriate computer system; obtain student records and information from previous schools; maintain related records. Prepare and maintain a variety of records, lists and reports related to students including student progress and final grades; maintain student cum files; establish and maintain filing systems; update and maintain student emergency cards. Perform a variety of administrative support functions for the assigned office including greeting and directing visitors, duplicating materials, answering telephones and typing memorandum and other forms or letters as requested. Operate a variety of office equipment including a calculator, fax machine, copier, computer and assigned software. Provide basic first aid to students according to established procedures; maintain injury report; notify school nurse and parents as needed. Monitor inventory levels of forms and other attendance materials; order, receive and maintain appropriate inventory levels of school and office supplies. OTHER DUTIES: Participate in student scheduling activities. Perform related duties as assigned. KNOWLEDGE AND ABILITIES: KNOWLEDGE OF: District policies and procedures related to attendance. Applicable laws, codes, rules and regulations related to assigned activities. Modern office practices, procedures and equipment. Record-keeping and report preparation techniques. Oral and written communication skills. Data control procedures and data entry operations. Interpersonal skills using tact, patience and courtesy. ABILITY TO: Perform clerical duties related to student attendance accounting and record-keeping at an assigned middle or high school site to assure accurate ADA reporting. Prepare truancy report and issue detention slips according to established procedures. Verify excused and unexcused absences. Serve as a liaison and technical resource regarding student attendance, discipline, tardies and related issues. Maintain records and prepare reports. Utilize a computer to input data, maintain automated records and generate computerized lists and reports. Work independently with little direction. Interpret, apply and explain rules, regulations, policies and procedures. Type or input data at an acceptable rate of speed. Operate a computer and assigned software. Meet schedules and time lines. Understand and follow oral and written instructions. Communicate effectively both orally and in writing. Establish and maintain cooperative and effective working relationships with others. EDUCATION AND EXPERIENCE: Any combination equivalent to: graduation from high school and three years general clerical experience involving record-keeping and frequent public contact. WORKING CONDITIONS: ENVIRONMENT: Office environment. Constant interruptions. PHYSICAL DEMANDS: Dexterity of hands and fingers to operate a computer keyboard. Hearing and speaking to exchange information in person or on the telephone. Seeing to read a variety of materials. Sitting for extended periods of time. Bending at the waist, kneeling or crouching to file materials.
