Position Overview: The Administrative Director is a pivotal leadership role at Roseville Community School, responsible for overseeing the daily operations, financial systems, compliance, and overall coordination of school logistics. Working closely with the Board of Directors, Educational Director, staff, and families, the Administrative Director ensures the smooth functioning of the school while upholding its progressive mission and community-based values. This role combines strategic planning with hands-on management, requiring excellent organizational skills, clear communication, and a collaborative spirit. The ideal candidate will be proactive, flexible, and aligned with RCS’s commitment to whole-child education. Key Responsibilities:

 Operations & Administration

  • Oversee day-to-day school operations, including scheduling, registration, and enrollment
  • Ensure compliance with state and federal licensing requirements
  • Maintain school records, legal documentation, and licensing paperwork
  • Manage staff timesheets, absences, and payroll
  • Coordinate safety compliance (fire drills, pest control, staff trainings)
  • Maintain student rosters, exit plans, and administrative databases (Procare, DOB spreadsheets, etc.)
  • Update the school website and manage business licenses

Technology & Data Management

  • Oversee digital systems for recordkeeping and communication
  • Ensure confidentiality and file security
  • Maintain system backups and ensure data retention policies are met

Finance & Budgeting

  • Oversee school finances in coordination with the bookkeeper
  • Develop the annual budget for board approval
  • Collaborate with the Board Financial Officer to prepare clear, biannual financial reports for the board and families
  • Manage accounts payable/receivable, invoicing, and fundraising tracking
  • Oversee business tax filings and insurance renewals

Governance & Board Relations

  • Report directly to the Board of Directors and attend monthly board meetings
  • Support strategic planning, staffing, marketing, and enrollment initiatives
  • Assist with policy implementation and teacher/staff evaluations
  • Maintain administrative archives and support board meeting agendas

Human Resources & Staff Support

  • Ensures compliance with all laws, contracts, and RCS Bylaws
  • Lead hiring and onboarding in collaboration with the Educational Director and Board
  • Maintain up-to-date employee files and ensure HR compliance
  • Foster a collaborative, supportive team culture

Parent & Community Engagement

  • Oversee parent participation systems and weekend housekeeping coordination
  • Support family communication and community-building efforts
  • Coordinate and attend family events and orientations
  • Serve as liaison with Roseville Community Preschool (RCP)

Risk Management & Emergency Preparedness

  • Partner with the facilities manager to ensure a safe, well-maintained campus
  • Manage incident reporting and emergency documentation
  • Review and update emergency procedures annually

Minimum Qualification: * B.A. degree * 3 years or more administrative experience in a school or learning center * Appreciation of Progressive Education philosophy * Computer skills including: Quickbooks, Google Drive (Forms, Sheets, Docs, etc.), Adobe, website management software * Excellent command of English * Excellent analytical skills * 2-3 years HR management / supervisory experience * 2 years or more experience working with charter school systems including PO/Voucher tracking and billing * DOJ background clearance; ability to serve as DOJ Custodian of Records Preferred: * Experience using registration software * Experience running payroll and other HR management tasks * Conflict management experience * Nonprofit management experience
