Requirements / Qualifications

THE POSITION: The Conference Center & Visitor Specialist is responsible for the operations of the public facing areas of the ACOE Central Office, including a variety of reception, clerical, and event operational support for visitors to the Alameda County Office of Education (ACOE). This role interfaces with a variety of internal and external partners, including districts and community partners, to ensure a positive experience for visitors to the office and conference center. Responsibilities include greeting and assisting visitors, providing information to staff, students, parents, and the public, and serving as a liaison to leverage ACOE programs and resources. Assists internal staff in planning and executing events and facilitating cross-departmental communication and services. This position reports to the Superintendent's Office. LOCATION: 313 W. Winton Ave. Hayward, CA 94544 TYPICAL DUTIES: • Performs receptionist duties at the central office of ACOE; operates a centralized multi-line telephone system directing calls to appropriate personnel; receives and transmits messages; answers questions and provides general information and assistance to callers and walk-in visitors. Responds to emergency calls notifying appropriate parties to address immediate safety and/or security issues. • Greets and assists employees and visitors in a professional and courteous manner, ensuring compliance with building security procedures, handling confidential inquiries, directing accordingly and providing routine information on policies. Tracks temporary access badges for proper identification and controlled access. • Coordinates the use and services of the conference center facility at the Alameda County Office of Education by internal employees and various community organizations; assures compliance with applicable laws, codes, policies, and guidelines; assures satisfactory service to the center’s clients and visitors. MINIMUM QUALIFICATIONS: Education: High school diploma or general education degree (GED) required. Experience: Two years of experience performing receptionist and clerical work with frequent telephone and personal public contact required. Three years of progressively responsible experience providing complex and technical administrative level support to a department administrator preferred. Equivalency: Equivalent combination of education and experience. SCREENINGS WILL BE HELD WEEKLY EVERY WEDNESDAY The following application materials are required: 1.
