JOB TITLE: Student Body Bookkeeper Job Purpose Statement: The job of Student Body Bookkeeper is done for the purpose of providing support to financial functions; conveying and updating fiscal information; and ensuring that revenues are generated, expenses are within budget limits and fiscal practices are followed. Essential Job Functions: Attends selected professional meetings and workshops for the purpose of upgrading skills and knowledge to maintain proficiency in current business practices. Coordinates development of reports (e.g. fund raisers, sales tax, etc.) for the purpose of meeting deadlines and complying with district, state and federal guidelines. Collects funds from student events (e.g. ticket sales, year book purchases, athletic letter distribution, etc.) for the purpose of ensuring the accuracy and timely completion of transactions. Conducts continual internal audit of financial operations for the purpose of assisting the student body only. Directs student workers for the purpose of guiding and monitoring their activities. Maintains various fiscal information, files and records for the purpose of providing an up-to-date reference and audit trail for compliance. Monitors fund balances of assigned programs and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or fiscal practices are followed. Prepares documentation and various reports (e.g. invoices, correspondence, cash deposits, etc.) for the purpose of providing written support, conveying information to both district personnel and outside auditors and/or complying with fiscal requirements. Processes various fiscal information for the purpose of updating information, authorizing final action and complying with accounting requirements. Reconciles account balances (e.g. student activity, year book sales, school accounts, etc.) for the purpose of maintaining accurate account balances and complying with related policies, practices and/or regulations. Responds to inquiries regarding various procedures and requirements for the purpose of providing necessary information for making decisions, taking appropriate action and/or complying with established fiscal guidelines. Other Job Functions: Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities. Job Requirements - Qualifications: Knowledge, Skills, and Abilities: Knowledge to perform basic math plus algebra for practical applications; to read technical information, create and/or compose documents and/or participate in panel discussions; and to solve practical problems and deal with a variety of concrete variables. Skills to perform multiple specialized technical tasks. Specific skills to administer personnel policies and practices; apply pertinent codes, policies, regulations and/or laws; communicate with persons of varied cultural and educational backgrounds; perform standard bookkeeping/ accounting procedures; perform standard clerical procedures; prepare and maintain accurate records; and utilize pertinent software applications. Keyboard/computer literate. Abilities to deal with a level of complexity of tasks that require significant coordinating of other person’s schedules and/or activities. Specific abilities to adhere to safety practices; be attentive to detail; meet deadlines and schedules; and work under time constraints. Type 40 wpm. Responsibility. Monitors and/or oversees the use of funds with significant responsibility for care of assets. Moderate opportunity exists for significant impact (positive or negative) on the organization’s mission. Working Environment: The job functions are generally performed in an indoor environment requiring the following significant physical abilities: standing, reaching, handling, fingering and/or feeling; sensory speaking, hearing and visual.
