Overall Qualifications

  • Possession of a valid First Aid Certificate
  • Background Clearance from FBI/DOJ
  • Have a minimum of an AA degree or 48 college units in Business Administration or a related field equivalent.
  • A minimum of two (2) year’s experience in a similar position

Knowledge of:

  • Use of proper English spelling, grammar and punctuation
  • Letter and report writing
  • Demonstrate proficiency in reading, writing, and mathematical skills sufficient to obtain a passing score on a standardized proficiency test
  • Analyze situations and take appropriate action in a variety of procedural matters without immediate or direct supervision
  • Perform arithmetical calculations with speed and accuracy
  • Learn and effectively use computer software programs and related word processing
  • Understand and apply successfully a variety of complex directions to specific situations
  • Proofread accurately
  • Type accurately at a rate required for successful job performance

Summary of Basic Responsibilities:

To assist the Director/Principal in the daily operation of assigned school site a variety of responsible secretarial support functions to direct and coordinate the clerical workflow and activities processed through a school’s site office including but not limited to the following duties:

  • Act as assistant to Director/Principal performing a wide variety of complex and responsible clerical and secretarial support duties as well as relieving the Director/Principal of routine administrative functions not requiring his/her immediate attention
  • Act as receptionist for assigned school, screening visitors and phone calls
  • Maintain routine and confidential files
  • Assist with Director/Principal appointment schedule; set up arranged meetings and conferences
  • Act as a resource person to teachers, students, parents, and general public regarding general and specific information on policies, procedures, and activities of the school
  • Assist in arranging and assigning substitutes to fill Instructional Assistant and Playground Supervisor absences to ensure adequate coverage
  • Collect necessary information and maintain a variety of logs and records related to employee personnel transactions, timesheets, absences, substitute logs and records
  • Receive and distribute incoming mail; processes outgoing mail
  • Collect money from students/staff for school activities and functions; receive and deposit in appropriate account or forwarded to District office, if necessary
  • Confer with and assist various community agencies; obtain, verify, provide information, deliver messages, and perform clerical functions as required
  • Register/withdraw students as required; process related forms, set-up files, secure/forward cumulative folders
  • Order materials, supplies, and equipment; maintain records of purchase orders, invoices, expenses, inventories and logs upon arrival
  • Attend various meetings; taking notes and preparing minutes
  • Coordinate and instruct other office employees in their work
  • Process, review, and verify various forms, reports, records, and other material for accuracy, completeness, and conformity with established standards; may create some forms
  • Compose and type correspondence, memos, and/or report from marginal notes independently or from oral and written directions
  • Distribute materials and information to teachers, classified employees, and students to ensure timely responses
  • Perform basic First Aid and/or CPR, as needed, in accordance with established policies and guidelines
  • Perform other duties similar to the above in scope and function as required
