Job Summary

Educate, engage and use your event experience and expertise to support Rosary Academy's advancement team to raise awareness and garner support for the many vital priorities at the heart of our school's mission. As the Special Events & Parent Engagement Manager, you will develop and manage a wide variety of events and parent programming to support the school's advancement efforts. You will interact with and serve Rosary's stakeholders and ensure our commitment to engagement and hospitality is evident in the events we produce. Imaginative, engaging, and meaningful events are more than mere gathers. Rosary's events offer a juncture of passion, purpose, and possibility to make an impact, bring change, and propel the many endeavors of our faculty, staff, and students.

          Qualifications: • Commitment to Rosary Academy’s mission and the mission of Catholic education • Bachelor's degree and two to five years of experience in the planning, production, and management of small and large events both formal and informal • Experience with knowledge of event protocols and procedures preferably in a non-profit setting Proficiency in Microsoft Office suite of applications as well as familiarity with other database, spreadsheet, scheduling and email applications, and event/auction software; willingness to learn new programs and applications in a prompt and efficient manner • Ability to use tact, diplomacy, and excellent judgment and maintain impeccable professionalism • Strong commitment to customer service and teamwork • Ability to work independently, take initiative, and exercise discretion and judgement. • Strong ability to pay attention to detail and problem-solving skills • Knowledge of fundraising principles and practice needed to support the advancement process. • Ability to travel to local off-site vendors and events during regular business hours, evenings and weekends in an efficient manner • Ability to anticipate needs, see opportunities, and use good judgment in dealing with confidential information • Ability to lift and/or move boxes and equipment up to 35 lbs • Demonstrated integrity, dependability, sound judgment, team building and resourcefulness to establish and maintain collaborative, positive, and effective working relationships with multiple groups • Interpersonal skills to work effectively and cooperatively with donors, volunteers, faculty/staff, vendors, advancement team, parent engagement groups, and students • Strong writing and editing skills, including the ability to prepare clear, concise, and grammatically correct business correspondence and other documents Responsibilities: Parent Engagement • Oversee parent executive board, parent council, moms club, dads club, and grandparents club • Create content and support parent groups through emails, social media, website and marketing materials • Engage in high touch customer service to families via phone, email, and other communications platforms, addressing concerns as necessary • Manage and facilitate programs to help current and prospective parents connect with each other • Collaborate with the Executive Director to establish parent programmatic and engagement goals Volunteer Oversight • Identify and engage constituents (current parents, parents of alumnae, alumnae, and community members) who want to volunteer, establishing ways to provide a meaningful experience in the Rosary community • Manage and track volunteer and engagement data, measuring efficacy of programs through attendance metrics, surveys, and other methods of gathering feedback Event and Data Support • Manage a wide variety of events to inform our prospects, donors, alumnae and other constituents while serving as a platform for promotion and connection • Project management, time management, and organizational skills, with the ability to manage details of multiple events within firm schedules, set priorities and effectively carry out event goals in a manner that enhances the image of Rosary • Manage fundraising event entirety: volunteers, contracts, vendors, promotion of event, registration, overall budget • Close out all fundraising events, including reconciling invoices, finalizing event budget, and reporting, thank you notes, etc. If necessary, follow-up with vendors, co-chairs, committee members, volunteers, etc. to reconcile any payments. • Collaborate with database manager to input necessary event data in Raiser's Edge CRM • Address complex issues in a clear, thoughtful manner, and come to a resolution without compromising the event or relationships with those involved • Process donation requests from partner schools, parishes and other organizations for outside fundraisers; Coordinates with marketing personnel for partner school advertisement opportunities. • Analyze and review event/operational procedures, identify problem areas and optimize performance through procedural changes. Other duties as assigned This is a full time, benefit-eligible position. Hourly rate with a range of $26 to $29 based on experience. Employment is contingent on fingerprinting and background check clearances. Office hours are Monday through Friday 8am to 5pm; some evening and weekend hours will be required
