Purpose

The job of Project Coordinator-FM & O is done for the purpose/s of coordinating, organizing, implementing facilities, maintenance, and operations programs and services including the development and implementation of assigned projects and related activities; providing information to others; implementing and maintaining services within established guidelines and standards; coordinating and implementing the George Grotefend Scholarship Program.

This job reports to the Assigned Administrator/Supervisor. 

Essential Functions

  • Assists in establishing department standards and procedures for the purpose of ensuring compliance with regulatory and funding agencies.
  • Assists in developing and maintaining budgets for assigned facilities, maintenance and operations programs and services for the purpose of reviewing budgets for project developments and ensuring they are within guidelines and requirements of laws/codes.
  • Attends trainings for the purpose of developing professional trade and safety skills and learning current updated policies and procedures.
  • Communicates directly with and instructs general and trades contractors, for the purpose of reviewing construction/remodel/repair and renovation activities and assuring projects are completed within COE scope and specification.
  • Coordinates plans, and participates in the activities of the facilities, maintenance and operations department (e.g. pest control services, alarm monitoring services, scheduling of construction projects, vendor meetings, etc.) for the purpose of providing safe and clean working environments for SCOE staff, students and guests.
  • Maintains a variety of manual and electronic files and/or records for the purpose of providing up-to-date reference and complying with regulatory requirements and established guidelines.
  • Participates in meetings, workshops, trainings, and seminars (e.g. CASH, FSCO, CSFC meetings, etc.) for the purpose of conveying and/or gathering information required to perform functions.
  • Prepare and maintain a variety of records, logs and reports related to the Facilities, Maintenance and Operations programs and the Grotefend Scholarship Program (e.g. real estate and bid files, pesticide records, FIT inspections, inspection results, SARC forms, etc.) for the purpose of ensuring all communication is accurate and meets the guidelines of SCOE Building & Operations codes/laws/guidelines for facility operations and the scholarship program.
  • Processes documents and materials (e.g. bids, recommendations, concerns, etc.) for the purpose of disseminating information to appropriate parties.
  • Represents the goals, objectives, and services of assigned projects and programs to the community for the purpose of ensuring project goals and timelines are being met as required and in accordance with state and local building requirements.
  • Researches a variety of information (e.g. technical data related to assigned facilities, professional correspondence, materials, etc.) for the purpose of ensuring accurate information is given and up-to-date.
  • Responds to inquiries for the purpose of resolving problems, providing information and/or referring to appropriate personnel.

Other Functions

  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. KNOWLEDGE is required to perform algebra and/or geometry; read technical information, compose a variety of documents, and/or facilitate group discussions; and solve practical problems.  Specific knowledge based competencies required to satisfactorily perform the functions of the job include: bookkeeping principles; concepts of grammar and punctuation; office application software including relational databases; and conflict resolution.; business telephone etiquette; codes/laws/rules/regulations/policies; practicing cultural competency while working collaboratively with diverse groups and individuals.

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling,   and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing.  This job is performed in a generally clean and healthy environment.

Experience      Job related experience with increasing levels of responsibility is required.

Education        Targeted, job related education with study in job-related area.

Equivalency    Any combination equivalent to:  Associate’s degree and six (6) years of increasingly responsible administrative/clerical experience.

The stated education and experience requirements are the preferred minimum qualifications for this job. However, relevant experience to substitute for the education requirement and relevant education, certificates and/or licenses to substitute for the experience requirement may be allowed.
