Position Description

Under general supervision, perform tasks related to the evaluation of student academic records as they pertain to college degree and certificate requirements, course prerequisites, and college transfer requirements. Assist with the development and maintenance of a computerized degree audit system.

Responsibilities

• Evaluate incoming high school and college transcripts and post appropriately to student files.
• Evaluate all student academic records for AA/AS degrees, certificates, CSU general education (GE) breadth requirement certification (with pass-along) and Intersegmental General Education Transfer Curriculum (IGETC) Certification (with pass-along).
• Perform all academic evaluations for military training based on Community College of the Air Force (CCAF) and American Council on Education (ACE) guidelines.
• Assist in the preparation of Student Educational Plans (SEP) for all student Veterans according to Veterans Administration policies.
• Evaluate course equivalencies, course substitutions, and other prerequisite criteria to complete course prerequisite validation. Functions as primary individual responsible for completing all student prerequisite validations.
• Assist in the evaluation of applications for special programs such as nursing and radiology.
• Participate in high school articulation committee process. Evaluate student high school courses towards college requirements according to established procedures.
• Assist in developing and implementing policies and procedures as they relate to the evaluation of student academic records.
• Function as liaison and academic policy resource for student services programs.
• Assist with in-service training for adjunct and full-time counselors.
• Participate in appropriate seminars and workshops offered by colleges and universities to maintain current in the area of articulation; participate in District provided in-service training programs.
• Compose correspondence and maintain files and records related to the evaluation service.
• Assist in the development and implementation of a computerized degree audit system.
• Perform related duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS
• Bachelor's degree from an accredited institution and two years of experience working with student records/transcripts at the college level. (Additional years beyond the two-year minimum may be substituted for the degree requirement.)
• Demonstrated skills and experience with word processing and basic spreadsheet software; ability to learn specialized software supporting student records.
• Knowledge of college academic policies and procedures including graduation and transfer requirements.
• Ability to maintain confidential and comprehensive files and records; communicate effectively orally and in writing; make sound judgments and decisions; perform mathematical calculations rapidly and accurately; establish and maintain effective working relationships with college staff, students, faculty, and the public.
• Clear evidence of sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students

DESIRABLE QUALIFICATIONS
• Work experience as an academic/transcript evaluator at the college or university level.
• Ability to assist in the development, implementation, and maintenance of a digital degree audit system.

Additional Information

SPECIAL CONDITIONS
Working hours: Monday - Friday, 7:30am - 4:30pm. Hours may vary according to the assignment.

CONDITIONS OF EMPLOYMENT
This is a full-time, 12-month, classified bargaining unit position. Starting date: as soon as possible. Range 22 of the CSEA Salary Schedule, with a starting salary of Step A, $5,150. Excellent benefit package.
Being able and ready to work in-person with Chaffey students, Chaffey employees, or other members of the Chaffey community/Chaffey partners/Chaffey contractors is an essential function of this job.
