THE POSITION: The job of the Office Assistant I is done for the purposes of performing administrative and routine clerical tasks under immediate supervision. Their responsibilities may include organizing and managing files, acting as receptionists, scheduling meetings & appointments, and supporting other staff with organizational tasks. This is the entry-level classification in the Office Assistant series. This position reports to the office administrator. LOCATION: 313 W. Winton Ave. Hayward, CA 94544 TYPICAL DUTIES: Maintains an inventory of office supplies and orders new materials as needed. Schedules meetings, appointments and workshops. Answers the phone to respond to inquiries, transferring calls, and/or taking messages. Greets individuals entering the building, assesses responses to inquiries and/or directing individuals to appropriate location in accordance with established building security procedures. Maintains department materials to provide resource information to visitors. Maintains building information for the purposes of providing reference information. Process, prepare and enter data in the computer for the purpose of ensuring accurate information is being provided. Responds to emergency calls notifying appropriate parties to address immediate safety and/or security issues. May track temporary access badges of ACOE employees and/or vendors to ensure that ACOE visitors are properly identified and access to offices is controlled. Attends department meetings for the purpose of conveying and/or gathering information required to perform functions. MINIMUM QUALIFICATIONS: Experience: One year of related office experience is required. Education: High school diploma or general education degree (GED).
