ATTENDANCE SECRETARY JOB SUMMARY Attendance Secretary, under supervision of the site Principal or designee, perform clerical duties of a responsible nature including responsibility for the main attendance computerized system, high-speed printer, and competence in computer operation. REQUIRED QUALIFICATIONS Knowledge and Application of: District and school policies and procedures as they apply; Methods and practices of office management involving data processing and other computer equipment; Operation of office machines used in a modern office environment; Formats and procedures for entering and retrieving various types of data; Record keeping techniques; Correct English usage, grammar, spelling, punctuation and vocabulary; Oral and written communication skills; Report formats, inventory and control procedures, and deadlines; Interpersonal skills using tact, patience and courtesy; Applicable sections of the State Education Code and other applicable laws. Ability to: ?Work confidentially ?See for purposes of reading printed matter and observing students ?Hear and understand speech at normal levels ?Communicate so others will be able to clearly understand normal conversation ?Lift, carry, push, pull, bend, twist, stoop, kneel, run and crawl ?Perform light physical exertion ?Lift 25 pounds ?Carry 15 pounds ?Reach in all directions (physically) ?Operate a variety of modern office equipment including; but not limited to, typewriters, computers, 10-Key adding machines, copiers, duplicators, faximile ?Apply interpersonal skills using tact, patience and courtesy ?Review, code, check, and enter data on a computer ?Type 40 words (net) per minute from clear copy ?Verify accuracy and completeness of documents and process data ?Make simple arithmetic calculations with accuracy ?Compile, maintain, and submit accurate and complete records and reports ?Read, interpret, apply and explain rules, regulations, policies and procedures ?Meet schedules and deadlines ?Speak and understand Spanish is desirable ?Plan and organize vs. utilize time management and organizational skills ?Work at a desk, conference table or in meetings of various configurations ?Stand, sit and walk for extended periods of time ESSENTIAL FUNCTIONS OF THIS POSITION: May include, but not limited to: 1.Perform a wide variety of specialized and responsible secretarial duties; works independently; interpret and apply rules and regulations as appropriate 2.Review, check, correct and compile a variety of information; verify data for accuracy, completeness and compliance with established procedures; input and retrieve computerized data in computer systems as required 3.Prepare and maintain a variety of attendance records, logs, and files 4.Respond to requests for information from students, staff, and the general public regarding District attendance programs, policies, procedures, and regulations 5.Write admit slips for students who are absent or tardy 6.Contact parents by phone regarding absences or tardiness and logs it 7.Prepares monthly attendance reports for ADA 8.Supply printouts and/or information for SARB meetings on attendance 9.Keep records of perfect or outstanding student attendance for end-of-year awards 10.Performs related duties as assigned Education/Experience: High School Diploma or GED required; Course work in secretarial science, business and/or office practices, or related field is desired; Two (2) years of responsible secretarial experience preferred. Conditions of Employment: Valid First Aid required CPR Certification considered an enhancement/not required Valid California Drivers License required
