TITLE OF POSITION:   SENIOR CLERK

DESCRIPTION OF POSITION:         The job of “Senior Clerk” involves responsible and complex record keeping; performs varied office, clerical and typing duties in an assigned office unit where experienced judgment and independent initiative are required and specialized procedures must be mastered and applied; and does reasonably related work as required.  Specialized areas include computerized attendance and record keeping.

ESSENTIAL JOB FUNCTIONS:

  • Possesses good knowledge of district rules and regulations pertinent to the office’s program.
  • Has the ability to complete a variety of difficult clerical tasks independently.
  • As a continuing primary responsibility, performs complex clerical work involving a thorough familiarity with policies, procedures, terminology, applicable laws, and physical requirements of the position.
  • Has personal contacts with regular and special students, teachers, administrators and classified staff and often the public.
  • Compiles a variety of narrative and statistical reports, locating sources of information and determining proper format using current terminology.
  • Answers questions that involve searching official or technical records and detailed explanation of policies or procedures and refers only matters requiring policy decisions to immediate superior.

OTHER JOB FUNCTIONS

  • May act as back-up secretary for an administrative official, making appointments, screening callers and correspondence and initiating replies to routine correspondence.
  • Initiates and receives a volume of calls and personal contacts from employees, school, other district units and the public relating to the technical work of the office.
  • Posts data and information to card databases and files, which have legal, administrative or confidential importance.
  • Checks specialized forms for completeness, arithmetic accuracy, coding, meeting of qualifications or other technical compliance.
  • Supervision may be exercised over part-time or student personnel.
  • Work is integrated or coordinated with other desks and offices.

ESSENTIAL JOB REQUIREMENTS - QUALIFICATIONS:

  • Education and Experience Required: Graduation from high school, preferably supplemented by some college level courses in office practices, business and similar fields.  Three years of broad and varied experience involving responsible clerical procedures, records and typing work.  Additional training, education or experience, especially in situations dealing with people is highly desirable.
  • Skills, Knowledge and/or Abilities Required: Typing 45 wpm; knowledge of computer and data entry; office methods.  Record-keeping, filing systems and office procedures for general, technical and statistical activities; modern office methods, practices and procedures; standard office equipment including computers and calculators; proper English, grammar, spelling, composition and vocabulary; basic arithmetic, posting and checking, public contact work, including professional personnel, students and the public, both in person and on the phone.  Practical knowledge of school objectives, organization and community relationships; operations, procedures, rules and precedents of the particular department, office or desk assigned.  Ability to read and understand technical rules, regulations, policies and materials, make arithmetic calculations, understand principles of bookkeeping procedures, establish effective relationships with teachers, file, post and check records rapidly and accurately.
  • Licenses, Certifications, Bonding, and/or Testing Required: TB test clearance, criminal justice clearance, pre-employment physical and drug test.
