As a Staff Secretary I - you will support the day-to-day operations of your department managing department budgets and processes, serving as the first point of contact for inquiries, as well as proactively resolving issues. This position requires strong technology and customer service skills, as well as sound independent judgment and the ability to prioritize and juggle many tasks at once with minimal direction.

SAN JOSE UNIFIED SCHOOL DISTRICT I. Staff Secretary I II. Definition Under general supervision, as secretary to a District administrator, to perform difficult, complex secretarial and clerical work, and to do related duties consistent with the job description. III. Examples of Duties Performs secretarial duties including material of confidential nature, consisting of letters, reports, legal forms and actions, briefs, contracts, specifications, bulletins, memoranda, minutes of meetings and record material; prepares special reports and relieves a District administrator of a variety of administrative details. A variety of difficult clerical work is performed along with assigned secretarial duties. Assigned clerical duties require the exercise of considerable judgment and discretion. Incumbents must have a wide knowledge of the current operations, procedures rules, and precedents of the District and department, and must be able to interpret and apply this information in their work with the general public and with administrators and employees; may maintain department budget. Wide latitude is permitted in the performance of assignments, with incumbents frequently made responsible for the style, format, final appearance, and accuracy of completed work, and enter data through the use of computer terminals. IV. Distinguishing Characteristics V. Employment Standards A. Knowledge of: Modern office procedures, practices, and operation; Correct English usage, spelling, grammar, punctuation, and vocabulary; Business English and methods of preparing correspondence and reports; Working knowledge of District organization, policies and rules. B. Ability to: Learn, interpret, and apply rules and policies relating to department programs; Perform difficult and responsible clerical work with speed and accuracy skill; Analyze situations and make decisions in procedural matters without immediate supervision; Learn to use a computer terminal using word processing and data base software; Analyze situations and adopt an effective course of action; Make arithmetical calculations with speed and accuracy; Meet the public tactfully and courteously and to establish and maintain cooperative and effective working relationships; Take notes and transcribe accurately; Type at a speed of not less than 55 words a minute from clear, legible copy. C. Education/Training/Experience: Completion of 12th grade or equivalent and three years of increasingly responsible secretarial and clerical experience. D. Licenses/Certificates: VI.
