THE MERIT SYSTEM AND THE PERSONNEL COMMISSION The San Mateo County Office of Education has utilized the Merit System since 1966 to ensure that classified employees are selected, promoted and retained without favoritism or prejudice. The Personnel Commission oversees a Civil Service (Merit) System of personnel management for San Mateo County Office of Education employees. The Merit System is a method of personnel management which is designed to promote the efficiency and economy of the workforce and the good of the public by providing for the selection and retention of employees, promotional opportunities, in-service training, and other related matters on the basis of merit, fitness, and the principle of “like pay for like work."

Job Summary

This position will be providing administrative support to two top-level executives: the Deputy Superintendent of Educational Services Division and the Associate Superintendent of Educational Services Division. The Executive Assistant III, Confidential classification performs complex administrative duties in support of the Associate and Deputy Superintendent and provides varied direct or pooled secretarial support to an assigned Coordinator or Manager. Incumbents require thorough knowledge of division policies and procedures. Specific duties and responsibilities outlined in the current job description for the Executive Assistant III, Confidential classification will not include responsibilities pertaining to the office of the Superintendent and office of the Board of Education functions. ESSENTIAL FUNCTIONS: Perform highly responsible duties as the primary and confidential secretary to the Associate Superintendent, relieving the administrator of a variety of secretarial and administrative details; plan, coordinate and organize office and department activities and flow of communications for the administrator; draft and prepare County Board of Education meeting agendas; organize and disseminate Board packets; attend Board of Education meetings and study sessions; prepare Board of Education meeting minutes. Serve as liaison between the Associate Superintendent and staff members, school districts, public agencies and the general public; receive, screen and route telephone calls; greet and assist visitors; refer callers or visitors to appropriate staff members; take and relay messages; respond to requests, complaints and questions from officials, staff and the public, representing the Associate Superintendent by phone and written communication; interpret policies and regulations to officials, staff and the public. Requirements / Qualifications

MINIMUM QUALIFICATIONS: Any combination of education and experience providing the job knowledge, skills, and ability for successful job performance will be considered for positions in this classification. Typical qualifications would be equivalent to: EDUCATION: Associate’s degree in secretarial science or related field; and EXPERIENCE: Four years of increasingly responsible secretarial or administrative assistant experience. EXAMINATION PROCESS: The examination process for this classification may consist of: 1. A review of Supplemental Questionnaire and Application (Required, Submitted with application); 2. A written examination conducted in-person (Tentative Date: October 13, 2022).; and 3. An oral board examination conducted virtually via Zoom (Tentative Date: October 19, 2022).

BENEFITS: Total Compensation Package: Placement on salary schedule. If a medical plan is selected, the employee will receive a contribution of $1,175.00/month toward the selected medical plan (through CalPERS), Delta Dental, and Life Insurance. The employee pays the balance of their health premiums from their gross earnings on a pre-tax basis. If a medical plan is not selected, employees will receive a contribution of $300.00/month toward single coverage for Delta Dental, and Life Insurance. A vision plan (VSP) is also available. Employees pay the worker contribution to the Public Employees Retirement System (PERS).
