SECRETARY/ACCOUNT CLERK
DEFINITION
Under direction to perform moderately difficult secretarial/clerical and record keeping tasks at the District level, and to do related work as assigned. This position is assigned at the District level and is responsible for all assigned secretarial/clerical and record keeping work. This may include the calling of substitute personnel.
ESSENTIAL JOB FUNCTIONS
· Performs all phases of secretarial/clerical and record keeping tasks.
· Serves as a receptionist.
· Prepares and reviews bills payable and purchase orders.
· Prepares reimbursement claims and financial reports including balance sheets, and net operating balances.
· Performs financial and statistical record keeping.
· Types correspondence, memos, records, bulletins, cards, and forms.
· Makes and receives telephone calls.
· Composes routine correspondence and reports.
· Posts data and information.
· Makes arithmetical calculations with speed and accuracy.
· Maintains files, lists, and records.
· Operates standard office equipment.
· Enters data on computer.
OTHER JOB FUNCTIONS
· Schedules appointments.
· Prepares internal periodic enrollment/attendance reports and similar external reports for data processing centers or county or state agencies.
· Performs other related duties as may be assigned.
DESIRABLE QUALIFICATIONS
Knowledge of:
Basic Methods, terminology and practices of record keeping and financial reporting;
English, grammar, spelling;
General office practices and the operation of equipment;
Arithmetic, filing and records checking.
Basic computer operation.
Ability to:
Follow oral and written instructions;
Complete routine tasks willingly;
Perform general and statistical clerical work;
Make arithmetical calculations with speed and accuracy;
Work with a minimum of supervision;

Read and comprehend handwritten or typed documents, and the display screen of office machines;
Communicate effectively;
Lift and move light to medium-weight objects such as boxes of books, office supplies, or presentation materials;
Sit for sustained periods of time;
Work on more than one task at a time;
Concentrate on current task in spite of distractions in an active, busy environment;
Efficiently and effectively operate office machines, including a computer with keyboard and monitor, for sustained periods of time;
Demonstrate manual dexterity necessary to operate calculator, typewriter, and/or computer keyboard at the required speed and accuracy;
Maintain regular, steady attendance.
Skills:
Typing: 50 words per minute
Operate adding, calculating and other business machines
Experience:
Two years of general office work including secretarial/clerical and record keeping;
Must have the ability to act as a receptionist.
Education:
Equivalent to graduation from high school, preferably including or supplemented by courses in record keeping, bookkeeping, typing, and office procedures.
Personal Qualities:
Maturity, pleasant and friendly demeanor, and the ability to work under pressure and with frequent interruptions.
