Under the direction of the AP Coordinator and the Classified Administrator, the AP Specialist (“Specialist”) will be required to support Heartland Charter School’s Accounts Payable Department. As an employee of Heartland Charter School, the AP Specialist will follow the responsibilities and procedures as delineated in the Heartland Handbook. Please see below for further details about the position and needed qualifications. The Specialist is responsible for the accurate and timely processing of invoices. The AP Specialist completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices. In addition, the position is responsible for providing a high level of customer service to both internal and external customers. The AP Specialist is expected to work full time, according to the classified calendar (A-Basis) and may need to work additional days beyond the work calendar. Pay subject to board approval. Duties and Responsibilities: Pays vendors by verifying invoices against approved Purchase Order; receiving purchase orders in Procurify, verifying invoices against vendor W 9 information, or payment discrepancies and documentation; ensuring credit is received for outstanding memos Review all invoices for appropriate documentation, coding and approval prior to payment Respond to all vendor inquiries in a timely manner Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices Respond to all aspects of the accounts payable process, including processing invoices for payment and researching payment status Research information to provide accurate and timely solutions to vendors Resolve invoice discrepancies Support with vendor calls relating to invoice status Provide support to other groups in accounting as needed Bring concerns and ideas to supervisors Respond to emails/calls in a timely manner At all times, be an advocate for accuracy
