CLASS TITLE: ATTENDANCE CLERK
BASIC FUNCTION
Under the direction of an assigned supervisor, perform complex and responsible clerical duties related to posting and maintaining accurate daily and monthly student attendance data and developing reports at a comprehensive high school; communicate with administrators, staff, students, parents and others concerning attendance policies and laws; train and provide work direction to assigned clerical and student workers.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following: Incumbents in the classification may not perform all of these tasks or may perform similar related tasks not listed here.
- Review, verify, excuse or turn student absences into truancies according to established guidelines. (E1)
- Issue absence lists, passes and admit slips as appropriate. (E1)
- Communicate with parents, students, staff, social service agencies and authorities regarding attendance issues. (E1)
- Provide information and explain State and District rules, regulations and policies related to attendance. (E1)
- Compile, organize, consolidate and maintain complete and accurate data regarding student attendance and enrollment. (E1)
- Operate a personal computer and enter, revise and update period-by-period on-line attendance information. (E1)
- Prepare, audit and generate the periodic ADA, ATP and SART/SARB reports and submit to District personnel as required. (E2)
- Report students for SART or SARB which include students with chronic attendance problems, who are habitually absent and it is affecting their performance in school.(E2)
- Track class attendance of all students, call parents, send attendance reminders and send School Attendance Officer to homes of students that are habitually truant to follow-up regarding absences and clear absences appropriately. (E2)
- Develop and produce a variety of lists, records and reports related to enrollment and attendance.(E2)
- Enter/key Independent Study and Home Teaching daily attendance into student attendance system. (E2)
- Track Cal-Works student attendance and report information to Cal-Works agencies. (E2)
- Enter logs from the counseling, discipline and health offices, clear students for the periods that they were in these offices; enter field and sport trips, school, Associated Student Body (ASB), band and choir activities, etc. and other activities that pull a student out of class.(E3)
- Assure the authenticity of parent and teacher signatures. (E3)
- Train and provide routine work direction to assigned clerical and student workers.
- Check to insure all teachers enter attendance into computer system in a timely manner and enter and make manual adjustments.
- Answer phone calls pertaining to student absences, deliveries to students, messages to students and any off-ground passes for doctor appointments, court appointments, going out of town, etc.
- Order passes, folders and miscellaneous supply items.
- Perform related duties as assigned.
MINIMUM QUALIFICATIONS:
The requirements listed below are representative of knowledge, skills and abilities required to satisfactorily perform the essential duties and responsibilities.
EDUCATION AND EXPERIENCE:
A. Graduation from High School or equivalent.
B. Two (2) years of increasing responsible clerical experience including complex statistical record-keeping and public contact. One year of attendance office experience at a large secondary school is preferred.

Any combination of education, training, and/or experience which demonstrates the ability to perform the essential duties may be substituted for the required experience and/or education.
LICENSES AND OTHER REQUIREMENTS:
- A certificate stating freedom from Tuberculosis.
- A valid California Drivers License preferred.
- Valid First Aid Certification preferred.
- Valid CPR Certification preferred.
KNOWLEDGE OF:
- Statistical record-keeping techniques.
- Modern office practices, procedures and equipment.
- PC and related software, including attendance information system and other office automation software.
- Office equipment.
- Oral and written communication skills.
- Telephone etiquette.
- Basic math.
ABILITY TO:
- Stay current with all laws and regulations relating to essential duties.
- Communicate effectively verbally and in writing.
- Operate a PC and related software.
- Maintain effective working relationships with other people.
- Prepare and maintain complete and accurate attendance and enrollment records.
- Prepare and audit the school's ADA report.
- Train and provide work direction to others.
- Type/keyboard at 50 words per minute net.
- Apply and explain rules, regulations, policies and laws.
PHYSICAL ABILITIES
- Hearing and speaking to exchange information.
- Standing for extended periods of time.
- Seeing to read and compose written materials.
- Operating a computer keyboard for extended periods of time.
- Dexterity of hands and fingers to operate a computer keyboard.
- Lift or move up to 35 pounds.
ENVIRONMENT:
- Secondary school office environment.
- Subject to demanding time lines and constant interruptions.
HAZARDS:
- Extended viewing of computer monitor.
- Sitting for an extended period of time.
