CLASS TITLE: PERSONNEL ASSISTANT
BASIC FUNCTION:
Perform a variety of functions relating to assigned areas of the personnel program with respect to classified or certificated staff; prepare and maintain personnel records and files; provide information and assistance to employees, administrators, job applicants and the general public regarding personnel functions, District policies, procedures and collective bargaining contracts.
REPRESENTATIVE DUTIES: E=Essential Duty

Prepare and distribute job announcements and place newspaper advertisements to inform the public and employees of positions available; accept and review applications for certificated and classified positions; inform applicants of results; maintain related applicant records. E
Prepare and schedule, administer and score, proficiency tests; inform applicants and supervisors of results; sign-up and process new employees; assure payroll and other related documentation is signed; send employment verifications to appropriate agency; mail contract to employees and follow up as necessary. E
Perform office support and clerical duties as needed; screen visitors and phone calls; make appointments and arrange meetings; maintain files and records; assist employees in completing and submitting a variety of forms regarding employment, payroll and other matters. E
Provide information and assistance to employees, job applicants and the general public concerning personnel policies and procedures and the interpretation of collective bargaining contracts. E
Respond to questions from applicants and employees and the general public regarding District policies, contracts, procedures and regulations related to classified or certificated employees. E
Verify teachers and other certificated employees have proper credentials recorded with the County office; provide information on credential requirements to administrators, teachers, substitutes and applicants; notify certificated staff of credential expiration dates, renewals and maintain current information on credential requirements. E
Operate a computer terminal to input data and maintain records including placing employees for payroll, determining job codes, pay rates and work years, inputting status changes, resignations and retirements. E
Compute leaves based on time of service and contract regulations; prepare, post and maintain sick leave, absence, maternity, family care, unpaid leaves and related records; notify employees of sick leave and vacation allotments. E
Process and maintain employment forms and records; inform payroll of changes as appropriate; process personnel requisitions; prepare, type and distribute correspondence, records and other related personnel reports. E
Provide assistance at front desk; answer telephones and take messages; provide and process applications, credentials, certificates and other related information; respond to questions related to employment contracts, issues or concerns; open, stamp and distribute mail. E
Maintain systems for classified or certificated employees; prepare and maintain listings of employees and table of authorized positions. E
Type a variety of forms, reports, correspondence and other documents; compile and prepare a variety of reports and statistical data as needed to provide back-up data for projects. E
Process paperwork required for employment, retirement, termination, loan verifications, resignation, leave of absence, change of assignment and related information.
Register Lodi Unified School District in teacher recruitment fairs as assigned; coordinate registration fees and transportation activities.
Order and maintain supplies for personnel office.
Perform related duties as assigned.

Assist certificated staff in obtaining and renewing teaching credentials required by the position.
Make arithmetic calculations quickly and accurately.
Type at 45 words net per minute from clear copy.
Work independently with little direction.
Establish and maintain cooperative and effective working relationships with others.
Meet schedules and time lines.
Perform a variety of clerical duties related to classified and certificated personnel.
Plan and organize work.
Communicate effectively both orally and in writing.

EDUCATION AND EXPERIENCE:
Any combination equivalent to: high school diploma or equivalent and increasingly responsible clerical experience.
