CLASS TITLE:  HUMAN RESOURCES ASSISTANT

 

 

BASIC FUNCTION:

 

Under the direction of the Assistant Superintendent-Human Resources, perform a variety of human resources activities in support of the recruitment and processing of substitute personnel; receive, process and fill substitute assignments in response to employee absences; receive, greet, and direct visitors; receive, sort, and process mail; provide assistance to District personnel and job applicants regarding assigned personnel functions.

 

REPRESENTATIVE DUTIES:

 

ESSENTIAL DUTIES:

Perform a variety of human resources activities in support of the recruitment and processing of substitute personnel; resolve personnel-related issues and concerns in a proper and timely manner.

 

Receive, process and fill substitute assignments in response to employee absences; coordinate response to absences, review substitute lists and applications, and assign substitutes to appropriate unfilled positions; notify appropriate employees of substitute requests and assignments.

Perform a variety of general clerical duties in support of an assigned office including typing, filing, duplicating and distributing materials.

 

Type letters, lists, memoranda, bulletins, reports, requisitions, flyers, forms or other materials from detailed or rough copy; compose routine correspondence; proofread completed typing assignments.

 

Receive, greet and direct visitors; respond to inquiries and provide a variety of general information to personnel, students, parents and the general public; answer telephone calls and direct calls to appropriate personnel; take and relay messages as appropriate.

 

Receive, sort and distribute mail; prepare and distribute informational packets and bulk mailings as directed.

 

Provide information and assistance to District personnel, job applicants and the general public regarding assigned personnel functions; respond to inquiries and provide information concerning related standards, requirements, processes, vacancies, practices, policies and procedures.

 

Receive, review, advertise, process and screen substitute applications and transcripts for minimum qualifications; verify applicant eligibility, employment, work experience, reference and background information; schedule, arrange and notify applicants of interviews and processing appointments.

 

Maintain and update the substitute finder system and database; input and update a variety of employee, substitute and other information in an assigned computer system.  Query data in Subfinder and generate reports.

 

Prepare and distribute letters/emails regarding results of the application/interview process or make offers of employment as directed; process new personnel; schedule and conduct new employee orientations; prepare and explain employee paperwork.

 

Process a variety of personnel transactions such as new hires and employee transfers; prepare and follow up on letters of intent and requests to transfer.

 

Communicate with District personnel, outside agencies and the public to exchange information and resolve issues or concerns.

 

Operate a variety of office equipment including a copier, fax machine, typewriter, computer and assigned software.

Provide assistance to District personnel and job applicants regarding assigned personnel functions.

Establish and maintain personnel records and files.

Distribute, screen and process various personnel-related forms, applications and documents.

Prepare and distribute vacancy notices, announcements and postings for job openings.

Schedule, arrange and notify applicants of interviews and processing appointments.

Compose correspondence and written materials independently or from oral instructions.

Answer telephones and greet visitors and the public courteously.

Operate a computer and other office equipment as assigned.

Meet schedules and time lines.

Communicate effectively both orally and in writing.

Establish and maintain cooperative and effective working relationships with others.

 

EDUCATION AND EXPERIENCE:

Any combination equivalent to:  A.A degree; clerical experience involving frequent public contact;  human resources experience preferred. Bilingual/Spanish desirable.
